A cleaning checklist is useful twice: once to agree what a cleaner will do, and again to check it is being done. This one is set out by how often each task usually needs doing in a small office. Adjust the frequency to your space — a busy shared kitchen needs more than a quiet storeroom.

Every visit

Work areas

  • Empty bins and replace liners
  • Dust and wipe clear desk surfaces (leave papers and personal items where they are)
  • Wipe reception counters and meeting room tables
  • Spot-clean marks on glass doors and entry glass

Kitchen and break room

  • Wipe benches, splashback and the sink
  • Wipe the outside of the fridge, microwave and dishwasher
  • Clean the inside of the microwave
  • Empty kitchen bins and recycling
  • Wipe tables and chairs

Bathrooms

  • Clean toilets, urinals, basins and taps
  • Clean mirrors
  • Refill soap, paper towels and toilet paper
  • Empty bins
  • Mop the floor

Floors

  • Vacuum carpeted areas
  • Sweep and mop hard floors, including entries

Weekly

  • Wipe door handles, light switches and lift buttons (if they are part of your tenancy)
  • Dust skirting boards, window sills and ledges within reach
  • Wipe chairs and the bases of desks
  • Clean the fridge shelves of anything past its date (agree a policy with staff first)
  • Wipe phones, keyboards and mice — if you want this done, say so, as many cleaners only do it on request

Monthly

  • Dust air-conditioning vents and high surfaces that can be reached safely
  • Clean inside kitchen cupboards
  • Wipe internal glass and partitions
  • Spot-clean marks on walls and doors

Every few months, or before an event

  • Carpet steam cleaning, especially walkways and meeting rooms
  • A deep clean of the kitchen and bathrooms
  • Window tracks and blinds

Things to agree before you start

  • Who supplies consumables — soap, paper and bin liners.
  • What stays untouched — desks with papers, server rooms, locked offices.
  • Access — keys, alarm codes and building rules, and who holds them.
  • How to report issues — a notebook in the kitchen, an email or a message to one contact.

Specialist work such as clinical or medical-grade disinfection, or anything at heights, belongs in a separate, specialist arrangement.

Turning the checklist into a quote

Pick the tasks and frequencies that fit your office, note the floor area and the number of bathrooms and kitchens, and you have a scope any cleaner can quote against. Our guide to office cleaning costs explains what shapes the price.

Our office cleaning covers the core tasks — desks and reachable surfaces, kitchens and break rooms, bathrooms restocked from your supplies, bins and floors — with keyboards, mice and phones on request, and carpet steam cleaning, interior glass and one-off deep cleans as extras. Send your scope through the commercial quote request and we reply with questions or a written proposal.
